How to digitize restaurant SOPs so teams can use them

Organize restaurant procedures into a clear, searchable reference with owners, review dates, and staff-friendly steps.

Gather the current version first

Collect the procedures people actually use, including checklists, training notes, and documents stored in different places. Ask managers which version is current and who has authority to approve changes.

Do not digitize conflicting copies as if they were all correct. Mark unclear or outdated material for review by the responsible manager.

Organize around the work

Group procedures by role, task, or moment in service. Use a consistent format: when to use the procedure, what is needed, the steps, and who to ask when something goes wrong.

Keep each procedure focused. A long handbook is harder to search and maintain than a set of clear pages with useful titles.

Assign ownership and review

Every procedure needs an owner, an approval path, and a review date. Choose a platform staff can access on the devices they use, and check permissions before adding internal material.

A digital reference supports training; it does not replace supervised practice or leadership's responsibility for food safety, employment, and operating rules.
